The HIMS Coordinator is primarily responsible for the maintenance and management of the patient’s paper-based and electronic medical record (EMR) through the quantitative and qualitative analysis of the patient’s record to ensure the contents meets the requirements for completion as established by the Joint Commission International Accreditation standards; Health Authority Abu Dhabi (HAAD) standards.
PRIMARY DUTIES AND RESPONSIBILIITIES:
In coordination with the CNO participates in medical records operations to ensure the availability, accessibility, and completeness of the patient’s electronic medical record (EMR). Initiates a patient record by searching the master patient index; identifying existing patient records and interacts with Patient Access and Clinical Institutes for information verification; processing or creating a new record. Performs quantitative concurrent, retrospective, and final analysis for completeness of the patient’s record including signatures, missing data, and other clinical information and assigns deficiencies in the MR system. Performs qualitative analysis of physician documentation to ensure that the contents of medical reports contain required elements for completion. Reviews deficiency tracking reports and notifies health care providers of record deficiencies and tracks completion of deficient records. Sends deficiency notifications regarding incomplete records to responsible physicians in accordance with the rules and regulations of the medical staff. Flags charting discrepancies and errors found in the analysis of the patient’s EMR in the Focus system and notifies the responsible person(s) for corrective action. Identifies and merges duplicate medical records numbers. Creates and provides access to My Chart in EPIC. Ensures medical record availability by routing requests for scanning to HIMS Clerks and as required scans documents into the Focus system. Provides medical record information by answering questions and requests of NSPH caregivers and government agencies. Contributes to team effort by accomplishing related results as needed. Prepares and numbers medical record folders and files loose reports into the folder as needed. Communicates with external physician offices regarding medical record deficiencies. Answer and responds to medical records inquiries in person, via telephone, and via e-mail. Answers requests as needed to provide Release of Information. Maintains confidentiality of patient’s protected health information in both electronic and paper formats. Performs other duties as assigned.
SKILLS AND ABILITIES:
Ability to work well with the front office personnel, clinical and provider staff, and the ability to direct the medical records staff. Thorough understanding of medical terminology. Must be a self-starter and be able to function with little or no supervision.

ABOUT THE EMPLOYER
NovaVita Specialised Paediatric Hospital is located in Abu Dhabi UAE. Phase 1: To open end of October 2015. 20+ Chronic Care NICU/PICU level 3. Outpatient department with specialized physiotherapy. Phase 2: To start 2016 with 120 Bed Pediatric Hospital.

You must meet HAAD PQR requirements to work at NovaVita.
EDUCATION: Minimum Certificate in Health Information Technology or healthcare related field preferred. Certificate / training in clinical coding or equivalent. Medical training (but unlicensed at HAAD) is an added advantage.
EXPERIENCE: Minimum 2 years’ experience in a Health Information Management (HIMS) Department or Medical Records Department preferred. Minimum 2 years’ experience utilizing health information systems (HIS) software or equivalent experience preferred. Experience in medical coding ICD-9 and/or 10. Experience in medical transcription. At least 2 years medical records experience in a supervisory capacity.
COMPUTER SKILLS: Familiarity with medical transcription, ICD coding and EMR systems. Computer skills required Microsoft Word, Microsoft Excel to create spreadsheets, and PowerPoint for presentations.
